How to Inactivate/Activate Staff

Overview


Between each operational year, there is a good chance you will have a change in staff within your organization. This article will teach you how to inactivate/activate staff for the new program year.



Written Steps


Step 1: Login as an Admin

  • Sign into Hubbe with the Agency Admin Role


Method 1: Inactivate/Activate a Staff Member from their Staff Record

  • From your homepage, use the Universal Search tool at the top of your page to search for a staff member that you wish to Inactivate/Re-Activate
    • Enter the staff Member's first or last name
  • Click on the name of the staff member, and navigate to their staff record
  • On their staff record, click on the pencil icon next to the section labeled General Information
  • At the bottom of this modal, toggle Active to either Yes or No
    • If you are inactivating a staff member, it will automatically remove all roles they have in Hubbe
    • If you are re-activating a staff member, roles will need to be assigned to them
      • Navigate to the Agency/Site/Session record to assign roles to staff members, depending on the role that you wish to assign them


Method 2: Manage Staff from the All Sites or All Sessions Grid 

  • If we wish to manage staff across all our sites or sessions, we can use our power grids to do this
  • For example, from your homepage, navigate to your all Sessions Grid by clicking on the menu item labeled Sessions/Classrooms
  • From this page, we can see all of the sessions in our agency, and the staff that are working in each classroom
  • To make changes like removing a staff member, click on their name in the table (it should be blue) and click on the option labeled Unassign
  • You then will have the option to unassign any additional roles that they have, and can also make the staff member inactiveby checking the box at the bottom of the modal
    • Only make the staff member inactive if they are no longer with your organization
  • Finalize these changes by clicking on the red Unassign button
  • From this same page, we can also Assign staff members to sessions as well
  • Click on the checkboxes for a session we want to assign a staff member to
  • Click on the blue button at the top of the page titled "Assign Staff to Selected Session
  • Select a role from the drop down, and select the corresponding staff member receiving the role
  • Click the blue Save button to finalize these changes


Repeat these methods as many times as needed to ensure your staff shown in Hubbe are accurate.
